First-time setup (owners)
Do these in order the first time. After that, only adding your daily numbers is a regular habit.
- In the left menu, under the Manage heading, tap Stylists.
- Type a person's name and press + Add. Repeat for everyone.
- If someone is a contractor (you pay them by invoice), tick the contractor box next to their name.
- In the left menu, tap Account & Settings.
- Set your own Owner PIN first: it protects your financial pages.
- Set a PIN for each stylist, or leave it blank and let them pick their own the first time they log in.
- Open the Weekly page and use the CSV import to bring in past weeks from a spreadsheet in one go.
- Or just start fresh from today: the trends build quickly.
- Open the same link on the salon iPad, your phone, and anywhere else you work.
- Tap Log In and enter the same studio email and password (once per device).
- Everything appears automatically, backed up and shared between devices.
Daily basics for staff
Everything you need, step by step. Don't worry, you can't break anything.
- Open the link your manager gave you.
- If a sign-in box appears, type the studio email and password the owner gave you, then press Log In. (You only do this once on a new phone or computer.)
- A screen with everyone's names appears. Tap your name.
- Type your 4-digit PIN. Never logged in before? The first 4 numbers you type become your PIN, so pick something you'll remember.
- Look at the menu on the left side of the screen.
- Tap Leaderboard to see how the team is doing and how you're tracking.
- Tap the lock icon in the top-right corner of the screen.
- That takes it back to the name screen, ready for the next person.
Forgot your PIN? Just ask the owner, they can reset it in a few seconds.
Roles: who sees what
- Owner: everything. Financials, P&L, Tax & BAS, PIN management, cloud controls.
- Manager: the full app except P&L and Tax & BAS (financials stay with the owner).
- Stylist: the Leaderboard with team rankings and their own stats only. They can't see the team's totals or financials.
- You can hide the leaderboard from a specific stylist in Account & Settings.
- The app locks back to the name screen after a period of inactivity. Set how long in Account & Settings.
- PINs protect roles inside the studio. The studio email and password protect your data between devices, so only share it with people you trust to log in.
Adding your daily numbers
- In the left menu under Manage, tap Add Entry.
- Pick the day from the week strip at the top (Prev and Next move between weeks). It starts on today.
- Fill in the studio totals: returning and new clients (and whether they rebooked), service dollars, product sales and units, how many stylists worked, plus any notes about the day.
- Fill in each stylist's own numbers in their section: their clients, rebooks, service and product sales. This is what feeds the Leaderboard and Stylist Performance pages.
- If you've marked someone as a contractor, a contractor section appears on the entry form. Enter their clients and takings there.
- Contractor takings are kept separate from studio revenue. What the studio earns from them is the commission, and that shows on the Weekly page and the Contractor Invoice.
- There is no save button. It saves as you type: watch for the small ✓ Saved pill in the bottom corner.
- Typed something wrong? Reopen that day in Add Entry and change it. The change flows through every page and every device automatically.
Dashboard, Weekly, Yearly and Compare
- Dashboard: your week and your year at a glance. The first place to look each morning.
- Weekly: a week-by-week table of every day: clients, product, service, daily total, contractor commission and studio net. This is also where you bulk-import past data from a spreadsheet (CSV).
- Yearly: the big-picture trend, month by month.
- Compare Months: put any two months side by side to see what changed.
- On the Weekly page, open the import panel and paste or upload your spreadsheet rows.
- Check the preview looks right, then press Import All.
Leaderboard
Friendly competition, updated live as entries are added.
- Metric: Rebook Rate (the share of clients who rebooked before leaving), Total Clients, Revenue, Shifts Worked, Clients Rebooked, Product Revenue, or Product Units.
- Period: This Week, Last Week, This Month, Last Month, or This Year.
- Whatever you pick is remembered for the whole studio, on every device.
- Stylists see the rankings and their own stats, never the studio's financial totals.
- You can hide the leaderboard from a specific person in Account & Settings.
New Client Tracker and Lapsed Clients
- A per-stylist log of clients and their service. Tick off what happened: consult done, before and after photos, notes taken, product bought, and most importantly whether they rebooked.
- Add a short memo per client (preferences, sensitivities, referrals) and their last visit date.
- Use it to see whether new clients are coming back for a second visit, which is where retention is won or lost.
- Shows clients who are overdue for their next visit, based on how often each service should rebook.
- Tap ⚙ Service Cadences to adjust the rebook window per service. The defaults are industry standard.
- Filter by stylist and sort by most overdue, then use it as your call-back and message list for the week.
Goals & Targets
- Set monthly targets for the studio: revenue, client count, rebook rates for returning and new clients, and product revenue.
- Set individual targets per stylist too, great for reviews and check-ins.
- Progress fills in automatically from your daily entries, so you always know if the month is on track.
Stock & Retail
- Add each product with its cost, retail price, stock on hand, and a reorder level (the point where you want a reminder to reorder).
- Adjust stock as deliveries arrive and sales happen. Every movement is kept in a history.
- Switch the view to Low Stock Only for an instant shopping list, or Best Sellers and Slow Movers to see what's earning its shelf space.
Timesheets
Track staff hours each week and export them for payroll. Owners and managers only.
- In the left menu, under Staff, tap Timesheets.
- Your stylists are already listed. For anyone else (front desk, cleaner, casual staff), tap the Timesheet staff bar at the top to open it, type their name, and press + Add.
- Use Prev and Next to move between weeks. Each pay week runs Tuesday to Monday.
- Tip: tap Copy Last Week to bring across last week's times, then just change whatever is different.
- For each person, on each day they worked, type a Start time and an End time (for example 9:00 and 17:00), plus the Break in minutes.
- The hours are worked out for you automatically. There is no save button, it saves as you type.
- Entered a day by mistake? Tap the ✕ at the end of that row to clear the whole day.
- Export CSV gives a plain spreadsheet of the week.
- Xero Payroll CSV gives a file ready to import into Xero.
- Print makes a clean printout to keep or hand over.
Roster Planner
- Add everyone to the Shared Staff pool at the top (up to 6 staff colours).
- Two week grids sit side by side. Rename them to anything (Week A and Week B, This Week and Next Week, whatever suits).
- Click any cell to assign someone to that day and shift. Click again to change or clear it.
- Tap Highlight Differences to instantly see where the two weeks don't match.
Contractor Invoice
- Builds a weekly invoice for your chair-rental contractor from the contractor amounts in your daily entries.
- Set the Commission % charged on their takings. There's also a separate cash commission rate that stays internal and never prints on the invoice.
- Fill in your business details once (name, ABN, contact) and they appear on every invoice.
- Print it or export it. The Weekly page shows the same commission per day, so the numbers always agree.
P&L and Tax & BAS
- A monthly profit and loss built from your daily entries, so revenue is always up to date.
- Enter your fixed monthly expenses once (rent, wages, software, insurance and so on) and adjust the variable costs month by month.
- Instantly see each month's profit and how the margin is trending.
- Running totals from your entries and expenses to make BAS time painless.
- Use it as a guide for what to set aside, and hand the summary to your bookkeeper.
Export Reports
One-click exports of everything, ready for your accountant or your own records:
- Daily Log: every day's full detail.
- Weekly Summary: week-by-week totals with commission and studio net.
- Monthly Summary and Yearly Overview: the bigger picture.
- Stylist Performance: per-person numbers.
- Contractor Invoice: gross, commission deduction, and amount due.
How saving and sync work
- Every change saves on the device instantly (the ✓ Saved pill), then uploads to the cloud within a second or two.
- Connected in the bottom-left corner means you're backed up and live-syncing. Changes made on one device appear on the others automatically.
- If the internet drops, keep working. Changes queue up on the device and upload as soon as you're back online or reopen the app.
- To sign one device out, tap Disconnect this device under the Connected status.
- Lost a phone, or someone left? In Account & Settings, use Revoke all device access: it sets a new studio password and signs every device out at once.
Troubleshooting
- A device is showing old numbers. Check the bottom-left says Connected. Close and reopen the app: it re-checks and re-syncs every time it comes back to the front.
- It says "Connect to cloud". That device has been signed out. Tap it and log in with the studio email and password. Anything entered while signed out uploads automatically after you reconnect.
- "Cloud sync failed, retrying" appeared. Usually just a dropped connection. It keeps retrying by itself and clears once you're back online. Nothing is lost.
- Forgot a PIN. The owner can reset any PIN in Account & Settings.
- Forgot the studio password. Tap Log In, then Forgot password: a reset link is emailed to the studio address.
- Numbers look wrong. Nearly always a typo in one day's entry. Find the day on the Weekly page, then fix it in Add Entry.
